Inventory and warehouse system in Lebanon for shops that run out

You sell the last box twice: once to a walk-in, once in a WhatsApp voice note from yesterday that nobody ticked. The supplier in China or in Bourj Hammoud already shipped, but you cannot say what is still in the back because the sheet is on a laptop that is off. An inventory and warehouse system in Lebanon is how you stop promising stock you do not have, and how you reorder before the empty hook teaches your customer to try the shop next door.

The problem owners have today

Excel has a quantity column that was true last Thursday. Someone sold from the personal phone. The warehouse (a room behind the shop) has cartons with no names, only a supplier’s Chinese label. Expiry exists for cosmetics and food but lives in someone’s eye, not in a date field. When you do a count, the shop is closed for a day and the number is already wrong by Monday.

Wholesale makes it worse: a client in Saida thinks they have a reserve. Your sheet does not. You ship half and spend the afternoon on the phone. Retail makes it worse in another way: Instagram shows a photo of a bag that left in January.

The outcome you get

A number you can trust at noon: on hand, reserved, incoming. Alerts before zero. A receive flow when a carton arrives so the back room is not a mystery. If we add barcodes, picking is “scan, pack, done” instead of reading every box. The online store, if you have one, sells from the same count.

You will still do a physical count. The system makes that count monthly, not a religious event every time you panic.

What you get

  • Item list with variants, units, and a photo if it helps pickers.
  • Locations: shop floor, back, second site, “with the driver” if that is your reality.
  • Stock in, stock out, adjustments with a reason (breakage, owner took one home, it happens, record it).
  • Optional barcodes. Optional expiry. Optional min/max reorder points.
  • A simple receive against a supplier invoice so you see what was shorted.
  • Owner view: what is dead stock, what is flying, what is about to run out.

Not included unless we add it: a full accounting suite, or customs files. This is stock truth. Money reports can come next.

Process

  1. Walk the shelves. I want to see the unlabeled carton, not a clean demo shop.
  2. Choose the unit of truth. Piece, box, kilo. Mixed units are where sheets lie.
  3. Fixed quote. Starts from $1,200. One site versus two. Barcodes or not.
  4. Count once, then go live. A dirty go-live on a wrong opening count poisons trust. We schedule the count like a real operation, not a suggestion.

Lebanon-specific issues this service actually hits

USD cost, LBP or fresh sell price: if you ignore this, you will “sell” at a loss after a rate move. The item should carry cost currency and sell currency the way you already think, plus a warning when margin vanishes.

WhatsApp reserves: a “keep it for me” in chat must become a reserve in the system or it is fiction. Cash on delivery that returns must put stock back. That status is not optional in Lebanon.

Cuts: receiving and selling during a blip should not wait for the cloud. Sync later. Paper backup of today’s pick list for a warehouse that loses net for an hour.

Language on labels: staff pick in Arabic even if the supplier invoice is in English. Screens should match the floor, or they will ignore the scanner.

Price range

Inventory and warehouse work starts from $1,200. Often paired with an online store. Examples: catalog, owner numbers.

Questions owners ask

What is an inventory system for a small shop in Lebanon?

A live count of what you can sell: on the shelf, in the back, reserved for a WhatsApp order, and on the way from the supplier. Not a sheet you update on Sunday if you remember.

Do I need barcodes and a warehouse, or just a shop count?

A boutique can start with names and quantities. A distributor in the Bekaa who picks by aisle needs locations and barcodes. We pick the smallest version that stops “khalas, we thought we had it”.

Can it handle USD cost and LBP selling price?

Yes. Cost in the currency you pay suppliers, sell price the way you quote customers, and a warning when the rate you used last month makes a “sale” a loss. We do not fake official rates. We use your rule.

Will it work if the internet drops during a rush?

The till or packing phone should still complete a sale and subtract stock locally, then sync. If your current method is shouting across the shop, we can still beat that, but we design for a blip, not for a datacenter fantasy.

Can it connect to the online store?

That is the point for shops that sell in person and online. One count. A website sale and a walk-in cannot both take the last piece.

How much does inventory software cost here?

Starts from $1,200. Extra warehouses, lots/expiry, and supplier orders are extras. Fixed quote after we walk the shelves once.
