Excel to system in Lebanon: data migration without retyping
Excel to system in Lebanon is the project everyone delays because the sheet “works”. It works until the person who understands the colors leaves, until two people save different copies, until a phone number with a missing 3 costs you a delivery. Data migration is not glamorous. It is how the new website, store, or dashboard does not start empty and useless.
The problem owners have today
There is no one sheet. There are twelve. Stock is in a file on a USB in the car. Clients are in a phone export. Prices are in a photo of a whiteboard. Arabic names spelled three ways. English names for the same people. Duplicates: “Mohamad”, “Mohammed”, “M. Ali”. You cannot send a WhatsApp campaign because half the numbers are landlines from 2011.
When you tried to “move to a system” before, someone typed the first 80 rows by hand and gave up. The live system stayed empty. Staff went back to the sheet because that is where the truth still was. Half-migrations are worse than no migration: now you have two lies.
The outcome you get
One load you can audit: row counts match, sample VIP clients are there, stock totals match the count you did that morning. Phones are normalized. Duplicates are merged with your yes/no, not with a silent algorithm. Staff log into the new system on Monday and recognize the data. You keep an archive copy of the old files so panic has a back door.
What you get
- A mapping document: this column becomes this field. You sign it. That is the scope.
- Cleaning rules: phones, empty prices, duplicate names, Arabic/English pairs.
- A test load on a copy. You click ten records you care about.
- The real load. A written rollback: if we miss, the old sheet is still the boss that day.
- A short staff note: where to look up a client now, who to call if a row looks wrong.
Not included: inventing data you never had (complete delivery histories from memory). We migrate what exists. We do not write fiction to fill a demo.
Process
- Sample files. Even 50 ugly rows teach the pattern. Hide surnames if you want. Keep the mess.
- Rules and quote. Starts from $250. Number of sources, number of rows, how personal the data is (clinics need more care than SKUs).
- Test load. You try search. If “Ahmad from Zahle” is missing, we stop and fix before the big night.
- Cutover. Count, export, load, open. One owner in the room who can say “this total is wrong”. Then we unfreeze.
Lebanon-specific issues this service actually hits
Phones: 03, 71, 76, +961, missing leading zero, numbers typed in Arabic-Indic digits. If we do not normalize, WhatsApp reminders fail and you will blame the new system.
USD and LBP columns that mean different things in different years: a “price” from 2019 is not a price today. We migrate with a note, or we freeze old rows as history, not as live sell prices.
WhatsApp-only clients with no second identifier: we keep the number as the key. Do not merge them into “cash customer” or you lose the thread.
Power: the cutover window should not depend on a 4-hour generator promise. We pick a slot, take local copies, and work from those files. The internet can die. The USB should not.
Arabic/English/French: three names for one school or one SKU. You decide the master label. We keep the others as aliases so search still works.
Price range
Excel to system starts from $250. It is the usual companion to automation and dashboards. Examples of life after a move: reporting, operations.
Questions owners ask
What is data migration from Excel to a system?
Moving clients, stock, invoices, and prices out of spreadsheets into a live system without retyping every row, and without trusting a file named FINAL3_use_this.xlsx.
Can you work with messy sheets?
Yes. Messy is the job. Merged cells, Arabic in one column and English in another, phones with missing zeros, duplicate names. We clean with rules you approve, not with silent deletes.
Will we lose history?
You choose. Sometimes you only need two years of clients and current stock. Old noise can stay in an archive file. Wiping everything “because it is ugly” is how you lose a VIP who has not ordered since 2023.
How do we not stop the shop during the move?
Freeze a moment: count stock, export the sheet, load, check totals, then go live. A weekend or a quiet morning beats a six-week “we will do it when we have time” that never comes.
Is this only for shops?
No. Clinics moving patient lists, schools moving class lists, traders moving SKUs, same pain. The columns change. The fear of losing a row does not.
How much does Excel to system cost in Lebanon?
Starts from $250. Volume, number of sheets, and how broken the phones/emails are drive the price. Fixed quote after we see a sample file (you can hide names).
